Users have the ability to modify the appointment settings within Rent Dynamics. Users can block out times they are unable to provide a tour, set the duration of tours, and select how many concurrent tours can be completed at a time, from the appointment calendar.
To begin, select the Appointments (1) tab located on the left side of the page. Next, select Appointment Settings (2) from the top-right of the page.
From here users can add one-time or recurring blocked periods, modify the appointment settings, and manage reminders (1).
To add a one time blocked period, select Create Blocked Period(1). Then enter in the Date(2), Start Time(3), and End Time(4) for the blocked period, and then click Save(5). The calendar will update with the blocked period after closing this page.
To add a recurring blocked period, select Recurring(1) from the top-right, followed by Add Blocked Period(2) for the desired day.
Here, the Start Time(1) and End Time(2)can be selected for the recurring blocked period. When finished, select Save(3).
By accessing the Appointment Settings users can manage the time that is allotted for a tour, along with the max number of concurrent tours for a specific day.
Buffers can also be applied so users or leads are unable to schedule an immediate tour. Buffers can be set between five minutes and two hours.
To edit the appointment settings or add a buffer select Edit(1)for the desired day from the Recurring tab.
To modify the tour settings select the Pre-Buffer time, Appointment Duration, and Post-Buffer Time(1). Users can select the Max Appointments for the Day(2), and the Max Concurrent Appointments(3).
To add a buffer select a time from the drop-down for the applicable scheduling tool(4). Un-checking the box to Allow Same Day Appointments(5)will remove the ability to schedule a tour for the current day, via the different scheduling methods.
Set on CRM refers to any appointments made by the on-site staff within Rent Dynamics.
Set by Contact Center refers to any appointments scheduled by the Rent Dynamics Contact Center.
Set on Online Schedulers refers to any appointments that a lead schedules online.
To modify the appointment reminders that will automatically be sent, select Reminder(1) from the top-right of the page. Users can Enable(2) the reminders to be sent by toggling the switch here. Next, the email or text template(3) can be selected for the tour type, followed by the amount of time(4) before the tour that the reminder will be sent.
Users can view the automated message by selecting Preview(5), once finished select Save(6).
